Verification and member messages

Choose how members get verified, and write the welcome, rules, and bot copy.

This guide sets how new members get verified and what the bot says while they do it. Configure all of it in web Settings. For the member side, see getting verified.

Pick a verification mode

Open Settings → Verification. Pick one mode and hit Save changes. The mode decides what happens when someone links a character during getting verified.

  • Roster only. Only characters already in your synced WoW guild roster are auto-approved. Everyone else is held for an officer to review.
  • Armory confirmed (recommended). Each character is looked up on the Blizzard armory. In your guild, they are approved automatically. A real character in another guild is marked as a Guest. Anything that can't be found is held for an officer. Realms are never guessed.
  • Officer trust. Officers can approve anyone. Characters that can't be confirmed stay pending for an officer instead of being held.

Armory confirmed rides on Hootus's own Blizzard access, set up by whoever hosts the bot. It is not a per-guild setting you configure. If the character lookup worked during your setup wizard, this mode works too. If the host has no Blizzard access, fall back to Roster only or Officer trust.

Add a guild member invite

On the same Settings → Verification page, use the Guild member invite card.

  1. Hit Create invite link.
  2. Copy the link.
  3. Set it as the Discord link in your in-game guild info.

Anyone who joins through this link is treated as a guild member. They skip the "member or guest" question and go straight to character verification.

Regenerate makes a fresh link and breaks the old one. Update it in-game afterward.

Write the welcome and rules

Open Settings → Messages on the Welcome & rules tab. This is the raid code and rules text shown to new members during onboarding.

  • Write in the editor, or hit Raw markdown to type Discord markdown directly.
  • Load defaults drops in a starter raid code you can edit.
  • Output renders as Discord markdown, so bold, headers, and lists work.
  • Hit Save when done.

Write the PUG signup embed

Open the PUGs tab at Settings → Messages. This text becomes a pinned embed on the raid-signup channel, shown above the Apply button.

  • Same editor as welcome and rules. Load defaults gives a starter.
  • Use it to explain how PUGs apply, what to bring, and your loot rules. See LFG groups.
  • The embed only posts once Discord raid signup is on. Turn that on under Settings → Features.

Override the bot's copy

Open the Custom messages tab at Settings → Messages. Each field replaces one piece of built-in bot copy. Leave a field blank to keep the default. Type {guild} anywhere and it is swapped for your guild name when the message sends.

  • Welcome greeting. Posted in the welcome channel when a new member joins.
  • Approval DM intro. First line of the DM a member gets once verified.
  • Morning raid reminder lead-in. Lead line of the same-day channel reminder.
  • Prep raid reminder lead-in. Lead line of the pre-pull prep reminder.
  • 24h reminder DM lead-in. Lead line of the DM sent to unsigned raiders a day out.
  • 2h reminder DM lead-in. Lead line of the last-call DM two hours out.

Reminder timing and which reminders fire live under raid automation and groups. Hit Save to apply.
