Roster, members, and promotions

Two pages keep your member list honest. Roster decides who counts as inactive, how often Hootus pulls from the Blizzard API, and how the guild dashboard leads. Promotions suggests rank bumps once members put in the days. Both live in web Settings. You need officer access to open them.

Set inactivity thresholds

Open Settings → Roster and pick the Activity tab. Three thresholds decide who shows up as inactive on your guild page.

Member inactivity. Set Flag members inactive after N days without a WoW login. Members past that line appear in the Inactive list. Range 7 to 365.
Raider inactivity. Set Flag raiders inactive if they miss X of the last Y raids. A raider who misses more than that share of recent raids lands in the Inactive list. Each field ranges 1 to 20.
Left guild detection. Set Flag as left after N days not seen in the WoW guild roster. Members whose character drops off the roster for that long show under "Left WoW guild" on your guild page. Range 1 to 30.

Hit Save.

Set roster sync and dashboard focus

Still on Settings → Roster, pick the Roster & sync tab.

Dashboard focus. Choose Auto (let Hootus decide), Raiding, or Social. Raiding puts raid nights and attendance up top. Social leads with roster health and the member overview. Auto reads how your guild plays and picks the emphasis. This drives your guild page.
Raid composition display. Toggle Show role composition (T/H/DPS). On, it shows Tank / Healer / DPS slot fill on the guild page raid widget and on the bot's raid and LFG embeds in Discord. Turn it off if your guild doesn't track role composition. For the raid side, see Running a raid, start to finish.
Roster sync interval. Choose how often Hootus checks the Blizzard API for roster changes and departures: Every hour, 3 hours, 6 hours, 12 hours, or 24 hours. The section shows when it last synced.
Login data sync. Login times ride the same schedule. Press Sync now to force a fresh pull right away. Updates land in a few minutes.

Hit Save for the focus, composition, and interval settings. Sync now runs on its own.

Import a roster from GRM

On Settings → Roster, pick the GRM import tab and upload your Guild Roster Manager export. This seeds member data without waiting on the sync schedule.

Roster sync and GRM import fill in character data: logins, ranks, and who sits in the WoW guild. Neither one hands out Discord roles. Members still get their roles by running /verify. Rolling Hootus onto a server that already has people? Tell everyone to run /verify so their Discord roles line up.

Turn on promotions

Open Settings → Promotions. Flip the Promotions switch on. Hootus suggests a promotion once a member has spent enough days at their rank. Turn it off to stop suggesting entirely. Everything below stays greyed out while promotions are off.

Set the promotion rule

Under Promotion rule, define one from-rank to to-rank jump.

Promote from. Pick the in-game rank to watch. Each rank shows its current member count from your roster, so you can tell which is which. Add a Label (for example "Initiate") to name the rank the way your guild does.
Promote to. Pick the rank to promote into. Add a Label (for example "Member").
After (days at rank). Set how many days in the guild before a promotion gets suggested. Range 1 to 3650.

Skip inactive members

Under Skip inactive members, set Hide if offline more than N days. Members last seen longer ago than that get held back instead of suggested. Set it to 0 to suggest everyone past the day threshold regardless of how long they've been away.

Post a daily reminder

Under Daily reminder, flip Post the daily reminder on. The bot posts members due for promotion once a day.

Reminder channel. Pick the channel for the post. For wiring channels in general, see Channels and notifications.
Reminder time (HH:MM). Set the post time. It runs in your guild's timezone.

Hit Save. The save bar stays disabled until you change something.
